Job Description

WE ARE LOOKING FOR OFFICE ADMINISTRATOR WITH GOOD EXPERIENCE WHO CAN JOIN OUR TEAM IMMEDIATELY Duties and Responsibilities Customer Service • Handle and screen incoming calls/emails of potential clients, existing tenants and other office related queries • Coordinating directly with the clients and agents for their inquiries and providing relevant information related to all the properties available for lease • Receiving all the tenant’s complaints and issues related to the maintenance of their lease unit and forwarding their request to the designated building contractor for taking immediate actions • Builds and maintains effective working relations with tenants and acts as a key point of contact for all aftercare, contractual issues or queries Property Lease and Office Administration • Preparing official letters, circulars, memos, and other office related communications • Manage and monitor lease administration for both the sides of landlord and tenants • Responsible for the lease documentation by preparing the Tenancy Contract, Terms and Conditions of the lease agreement, Payment details of lease offer and securing all related supporting documents of the clients • Preparing the Ejari Registration through online system of RERA, Dubai Land Department • Responsible to ensure that all payment collection and refunds from/to tenants are collected such as (rents, security deposits, agency fees, admin fees, Ejari fees etc.) • Maintain database of existing and new tenants and ensure that all legal documents required are valid and verified and updated in the system • Posting Properties Advertisement (Property Finder, Dubizzle, etc) • Monitor critical dates such as expiry dates, options to renew, options to terminate, etc. and preparing related correspondences • Coordinates and dealing with all the Properties Contractors for their Annual Maintenance Contracts • Coordinates and provides report to the management for the move in and move out of the tenants before issuing clearance • Preparing updated reports for all the properties such as vacant units, monthly renewals and other required reports of the landlord • Responsible to monitor and ensure all other required office administration works are completed • Performs other related duties that the Managing Director/Team may assign
