Monitor the team’s progress, identify shortcomings and propose improvements to management. Assist in the preparation and organizing of documents with the Engineering Department. Ensure adherence to laws and policies relevant to the division. Liaising with clients to understand their needs and report on progress. Assisting technical managers to create and share work plans and timelines. Managing technical project documentation Carrying out administrative tasks Preparing presentations and project updates Liaising with clients to understand their needs and report on progress Assisting technical executives to create and share work plans and timelines Managing technical project documentation, including updates on SOA if required Reviewing project costs and forecasts delivering through field teams on plans and in budget Organize and update databases and information. Attending and executing the Client queries via Call, Email, and Social Media platforms. Act as a liaison between external customers and internal departments in alignment with the existing Process. Ensuring efficient and effective processing of the Work order as per the Operation Teams with all relevant data recorded. Understand client queries and enable manual push of relevant content (relevant to the client as a whole and to individual users). Maintain work schedule and coordinate calendar activities of the field team. Adapt with Company Policies and procedures in developing systems and approaches. Coordinates with the field team the execution of the MEP and Civil services such as CAFM, and ensures support for the core team of the Project, in direct support to the Client Management team. Responsible for the delivery of planning of service / field team and day-to-day operations including recording in the system. Follow all service delivery processes and complete procedures to comply with company internal protocols and management systems. Key Performance Indicators (KPIs) Client Service Department Response immediately to all client calls and should be resolve in 2 hours maximum. Convey the client requirement to the Operations team within minutes of receiving the call/inquiry. Inspire repeat business from clients and build good relations with the clients to get them to use FixPro always. Monitor and measure client satisfaction. Liaise with different departments about client queries. Offer advice to clients on services and products. Develop surveys and capture client information as per the procedures. Participate in marketing campaigns as required. FixPro Internal Process with the Stake Holders Coordinating with supervisors & operations engineers for client schedules and related work processes into the day-to-day activities (FixPro Operation Flow Chart Process). Acting as an intermediate channel in maintaining the fair relationships between clients and the operation teams for the Assigned tasks for both AMC and one-off jobs. Following up with procurement/ inventory controller for costing the Items of the assigned day-to-day client’s jobs. Liaising with the finance department for client invoicing and receipt vouchers for the payment made by the customers. Maintain the client records in the tracker for completed jobs and close the job by sending the Service Status Report and Closing Report within 24 hours of service/survey. Desired Profile Holding a Bachelor's Degree in Engineering or equivalent certification. Fresher (0-1) year of experience as Client Service Executive. Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software including CAFM. Proficiency in collaboration and delegation of duties. Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities. Friendly and professional demeanor. Outstanding English and Arabic language skill is an added advantage Ability to handle multiple tasks simultaneously and maintain composure under pressure in a fast-paced environment while meeting deadlines. Strong interpersonal skills, achievement-oriented, self-motivated, and organized. Excellent verbal and written communications skills at all levels of the business. Specific Daily Tasks Checking the emails from the client, then adding quotations and approved costing materials by the operations manager. Coordinating with the clients about the full details of the job and confirming the schedule. Fixing the schedule according to the client’s availability and team’s availability and locations. Preparing the digital work orders for the AMC & AGMC job including the call-outs and quoted jobs. Preparing an AGMC or AMC proposal for every new client and to the existing clients for renewal of contracts. Collection of all service reports (Closing Job Reports) and signed or stamped WO from the team leaders and to follow up with them if there are any missing documents. Scan and attach in Xero software all the service reports (Closing Job Reports) for all quoted jobs and one-time jobs. Collection of pictures from the WhatsApp Group and save them to the client folders for the creation of survey or closing reports.
