Job Description

To manage all technical documentation flow of the engineering, project management and construction staff in order to ensure documents control within company standards and common engineering practices. JOB RESPONSIBILITIES: · Develops the projects department document by setting up project folders and facilitate project communication process. · Maintain project folders and control project registers/ tracking log by checking all types of documents, including drawing log and material log for accuracy and completeness. · Allocates document numbers to internally prepared documents and incoming documentation · Manage all flows (incoming and outgoing) of documents either in electronic form or on paper support · Records and files all documentation between the projects department, contractors, suppliers & Independent construction control consultants · Responsible in following up Weekly Progress Report from all Project Managers and ensure that the report is updated and referenced before submission to the Managing Director and/or Client · Ensures that all engineering documents are well checked and submitted on time prior to the document submission due date · Assist on the tender submission by providing the necessary document requirements and compilation of all submittals. Ensuring the submittals are complete and in accordance to the required programme · Collate, produce and submit QA Documentation for Clients Other tasks / general Create and maintain project telephone directory · Other relevant duties/tasks as directed by Directors, Contract Managers/Site Managers and Quantity Surveyors JOB SPECIFICATION: · Associate degree in Computer Science, Business Administration or similar field · Minimum of 3 years' experience in document or records management · Familiarity with project management · Systematic and able to work under pressure · Meticulous and able to follow through with tasks promptly · Excellent Organizational skills · Time management skills · Attention to details · Can work independently without much guidance · Pleasant personality, with good written and verbal communication and interpersonal skills · Proficient in MS Office applications (Excel, Words and Powerpoint) is a must and knowledge in using document control software is advantageous

What is a Document Controller?

A document controller is responsible for the management and distribution of documents within an organization. This can include tasks such as creating, maintaining, approving or disapproving copies of documents; tracking who has access to which versions of a document; managing electronic files containing documentation; and providing training on how to use the features contained in a document management system.

What qualifications are required to become a Document Controller?

1. Minimum of 5 years working experience in a finance or accounting role

2. Strong computer skills, including ability to manage and use Microsoft Office applications

3. Excellent organisational skills, able to prioritise and manage multiple tasks simultaneously

4. Proven track record of being proactive and taking initiative when necessary

5. Ability to work independently as well as within a team

What are the skills required to become a Document Controller?

1. Strong organizational skills, including the ability to prioritize and manage multiple tasks simultaneously;

2. Knowledge of computer databases, including how to use search engines and manipulate data tables;

3. Experience managing documents electronically through a document management system (DMS) such as SharePoint or Outlook 2013/2016;

4. Demonstrated experience working with customers in a client-facing role;

5. Excellent written communication and problem solving abilities
