Duties & Responsibilities: • Responsible for the preparation and processing of monthly payroll for over 350 employees; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions. • Responsible for the coordination efforts between payroll, human resources, budget, and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports), e.g., overtime, leave balances reports. • Handle the administration of the electronic timekeeping system. Setup each employee, valid programs for each employee's charges, and monitor submissions of approved timesheets, ensure valid data transfers to/from payroll service. • Execute all types of salary adjustments, promotions, and increments. • Handling Staff Leave Management_ Separate Sif files, processing all leave applications, sick leave, leave paid and without pay for all employees. • Verify all medical certificates produced by employees and check with Hospital/ Doctor, in case of doubtful cases. • Prepare WPS files and all aspects of payroll processes and maintaining up-to-date payroll records in HR Net software. • Prepare reports - (Payroll report, employee’s data reports, Salary analysis report, workforce analysis and manpower report, Employee turnover statistics report and HR Ratio Report). • Responsible for Renewal of Company documents, i.e., Trade License, Ejari, Establishments, Prok Permit, Medical, Group Life Insurance, Property Insurance and miscellaneous as per the requirement. • Responsible for OHC, PIC & BFH Training of Employees. • Prepare and process final settlement of separated staff (End of Service Benefits). • Administer HR-related letters such as salary certificates and NOC’s. • Summarize all visa cost for each entity collaborating with the Finance department to ensure adequate funds are maintained. • Manage the visa/work permit process for employees from start to finish, handling collection of supporting documentation, and preparation of application forms, and submission via PRO and return of passports after stamping of appropriate information/arrangements are in place. • Arranging Employees Medical, Emirates ID, Health Medical appointment. • Maintain up-to-date personal records for all staff. Notify relevant staff of visa/work permit expiry and initiate the renewal process. • Aiding newly joined employees regarding rules and regulation of the organization and about the payroll cycles, benefits, and general duties. • Keep proper documentation for the employees and take care of the sophisticated documents of employees like VISA, Passport and Educational Documents. • Complete all data entries to the dedicated ERP system of the organization to keep the records in a well-mannered and synchronized way. • All proper documentation at the time of joining with complete VISA process and passport validations. • Responsible for running and supervising the staff’s daily enquiries and make sure that all workers will attend to work. • Implementation of company Rules and Regulations based on UAE Labor Law. • Update staff’s daily movement, issue offences / warning letters to the workers. • Responsible for conducting HR Induction and Exit Interviews. • Supervision of Team for smooth HR Operations. • Responsible for making sure of Employees Covid Vaccinations.
