Job Description

• Assist primarily the Executive Director with organizational, financial and personal administration on a daily basis • Communicate and handle incoming and outgoing electronic communications on behalf of the Executive Director. • Chase responses to requests and emails to/from the Executive Director. • Greet visitors graciously and in a professional manner, create a good personal image through a neat, clean, business like professional appearance and a positive, cheerful attitude. • Answer phones in a pleasant, helpful and professional manner, direct all incoming calls to appropriate party promptly and efficiently, accurately recording messages and reliably passing messages to recipient in a timely manner. • Maintain records of decisions and ensure action items are clearly recorded for the Executive Director. • Organise documents for signatures of Executive Director and members of executive staff related to relevant projects. • Keep accurate records and files at all times and as appropriate. Update and maintain database of executive key contacts. • Manage a national multi-line phone averaging 30-50 calls per hour. • Be an ambassador of first impressions as you greet Clients, guests and visiting employees. • Consistently track and report information insuring accuracy and paying specific attention to detail, Use e-tools and computer systems to track visitors, manage work orders, and manage conference room needs and activities. • Prepare and disseminate correspondence, memos and forms • File and update contact information of employees, customers, suppliers and external partners • Check frequently the levels of office supplies and place appropriate orders • Make travel arrangements, Document/ courier inbound and outbound.
