Accounts cum Admin Assistant –Indian Male with 3 to 5 years UAE Experience JOB DESCRIPTION: Accounting Function: Major Job Description • Preparation and submission of Monthly Financial Reports, MIS, P & L etc. • Accounts Payable, includes processing invoices, following up with vendors and resolving discrepancies in a timely manner. • Accounts Receivable, including processing payments, producing statement of accounts, collections on overdue accounts and account reconciliation when required. • Banking, processing bank deposits, including trips to the bank. All associated finance entries. • VAT Declaration, Filing & Other Related Matters • Processing Employee expense reports, verifying expenses are within the company guidelines, correcting errors, questioning abnormal expenses, and entering into the finance system. • Company credit card reconciliations and communication for obtaining supporting documentation. • Invoice creation and distribution when required. • Filing and records retention • Assisting with Monthly and Year End tasks • Reception and Administrative support • Assist with the Purchase Department • Process LPO’s up to processing of payment • Assist with Special projects as required. HR & Admin Assistant Function: When Needed • Assume receptionist duties, greet public and refer them to appropriate staff members in the absence of the receptionist. • Answer telephones and direct calls efficiently or take accurate messages where appropriate in the absence of the receptionist. • Maintain front desk area, keeping it clean and free from clutter in the absence of the receptionist. • Maintaining the neatness and well-organized reception including toilets and pantry in the absence of the receptionist. • Support and actively participate in delivery of the Company Policy. • Help the HR Manager in managing the complete recruitment life cycle for sourcing the best talent from diverse sources after identification of manpower requirements. • Help in processing all needed documentation for all the staff and laborers. • Help in maintaining updated and complete staff file in the absence of the receptionist. • Assist staff with administrative duties as requested in the absence of the receptionist. • Updating and maintaining Document Files in well controlled manners to ensure they remain thorough, accurate and up to date. • Contributed to effective implementation of customer database which streamlined the company’s contact management activities. • Arrange for and manage meetings with staff & management in the absence of the receptionist. • Assisting all the Department heads with daily queries which require interaction with Higher Management. • Responsible for reading, scrutinizing, and prioritizing for respond to all email enquiries in the absence of the receptionist. • Responsible for distribution of incoming mail, faxes and documents as well as preparing outgoing mail including bulk mail. • Responsible for ensuring that there is enough stock for office supplies the company. • Helped formed better relationship between Management and Staff. • Handles Office boys and Drivers for their daily logistics. • Manage daily logistics. • Facilitate special event registration and execution. • Assist with various program operations as requested as responsibilities permit.
